District administrator guide
Coordinate school memberships, classroom setup, branding, and reporting.
Work within your district
You need confirmed district administrator membership. Use Learning community to select the district or one of its approved schools. Administrator access is inherited across those schools. Only the organization owner changes its login ID; organization applications are reviewed by YFLP.
Set up district schools
Select the district and use People & parents → Add a district school. Add confirmed accounts to the correct school and role. Select that school before creating classes. Review the school name on each action to avoid assigning access to the wrong community.
Accounts, teaching teams and custom roles
Open People & parents → Organization user management. Select the intended school before changing an account.
- Create school-managed accounts with a username, assigned email and password. Student authorization and school collection review remain required. Share credentials securely.
- Expand a managed account to edit its display name, username or assigned email, or set a new password. Changing an under-13 email requires a new reviewed authorization for the exact email and school. Personal accounts retain control of their email and password.
- Use Class teaching teams to assign multiple active staff to one class. Every assigned teacher can manage assignments, reviews and guided lessons for that class. Removing a teacher ends their class access unless they remain the lead teacher or an administrator.
- Owners and administrators create custom staff roles with a teacher base workspace and selected user-management permissions, then assign them to verified adult staff. Edit permissions to revoke delegated actions. Custom roles do not grant platform or owner access.
Set up people and classes
Select the correct school in Learning community before managing school records.
- Open People & parents. Add a confirmed account by email and choose its role, or approve a pending membership request. Adding a membership does not send an invitation.
- Open Classes. Create a school class and select an active teacher, administrator, or owner as its teacher.
- Use Add a student to a class to enroll an active school student, or issue an approved student class code.
- Open School management to reassign a classroom teacher, adjust sign-in branding, or pause manual membership requests.
Manage users safely
People & parents includes the Organization user directory. Search by name, account ID, or available email; filter by organization, role, and active status.
- Change the Role or Access selection and choose Save access. Owners and your own membership are protected.
- Reassign teaching responsibilities and resolve class or family links before changing a linked person’s role. The system blocks changes that would break those relationships.
- Deactivate a membership when access should end. This preserves learning records and does not delete the account.
- Use Export filtered users for a CSV of the visible directory. Store exports securely.
Prepare curriculum and track learning
The public curriculum is a framework of planned material. Classroom assignments use separately authored, published school lessons.
- Open Curriculum and create a lesson draft with objectives, sections, and any required written activities. Preview before publishing.
- Publish the lesson to make it available for new assignments. The assigned class teacher creates assignments from Classes.
- Open Reports to see authorized aggregate progress and export a report. Administrative actions also appear in the audit log.
- Making a lesson unavailable prevents new assignments; existing assignments keep their saved lesson snapshot.
Your verified membership determines access. Instructions describe the current platform; school policies may add requirements.
